Set your default subtitle specifications

Every new upload starts from your workspace defaults: which language is spoken, whether you want to review captions before translating, how speakers are shown, which languages to translate into, and how the subtitles should look. Set them once and the upload screen is pre-filled the way you like.

Defaults apply to files uploaded after you change them. Existing tracks keep their settings; to change those, use the editor's Layout and Style panels, or see Reprocess a track with new settings.

Open Workspace Settings

Open the workspace in the library and click Workspace Settings at the top, next to the search box. The settings page has a menu of its own: Caption Defaults, Translation Defaults, Subtitle Limits, Glossary, Style & Font and, on Team plans, Members. Every change saves by itself; a small "Saving..." then "Saved" label confirms it. There is no Save button to look for.

Caption Defaults: the source language track

  • Default Source Language: the language spoken in most of your files. It is selected automatically on every upload; you can still change it per file.
  • Post-Editing: Off lets translations start as soon as the captions are ready; Always pauses after transcription so you can review the captions first. If you translate, reviewing the source captions first is worth the minute it takes, because every translation is made from them.
  • Speaker Detection: Off, Dash (a dash on each speaker change) or Labels (named labels per speaker). See Speaker identification.

Under Advanced you can pin the AI Transcription Provider and the Segmentation Engine. Both are set to Auto by default, which picks the best option for each file; the other choices are explained in our transcription engines and segmentation engines overviews.

Translation Defaults: the languages you usually need

  • Default Translation Languages: the languages pre-selected on every upload. Add as many as you regularly need; remove one from the upload screen when a file does not need it.
  • Post-Editing for translations: Off, Defaults Only (pause for review only on the default languages) or Always.

Subtitle Limits: characters per line, per language

Translations inherit the layout of the caption track, adjusted to each language's own default line length. If a client's style guide demands a fixed value for a language, click + Add Language, pick the language and set its Chars per line. The override is applied to every new translation in that language. Style & Font: how new tracks look

Choose a preset (Classic, Clean, Broadcast, Bold, Cinematic or Pop) or set Font, Size, Background and Opacity by hand; the preview updates as you go. Always bottom keeps captions at the bottom of vertical videos instead of lifting them above the social-media safe zone. Any track can still be restyled in the editor. See Change the caption font.

Per-upload settings

On the upload screen, the collapsible Subtitle settings section shows what this particular file will use: Max lines per caption (1 or 2), Max characters per line (20 to 60; the default depends on the language and the video's aspect ratio), Speaker detection and the Multi-language audio switch for files with more than one spoken language. Changing them here affects only this upload.
